Process analysis & project management

This enables us to quickly and effectively deliver solutions that work efficiently for our Clients.
We know that Clients’ requirements evolve and change during the course of an implementation, so we are open to changes in project scope and priorities.
We prefer and recommend phased implementation of solutions. This ensures that both people and the organization adapt smoothly to process digitization and the changes it brings.
Our work starts with the Bosflow Platform and preconfigured functional modules. On this basis, we model business processes tailored to the Client’s needs.
How do our implementation projects proceed?
Kickoff meeting
The kickoff meeting – let’s get to know each other 😊. This is a key stage of every project. We discuss the project scope, its assumptions, priorities, goals, and how to achieve them. We establish communication methods and how we will work together, create a joint project team, and assign the appropriate tasks. Based on the meeting’s arrangements, we create a project schedule.
Process analysis
The key to success is a properly conducted pre-implementation analysis. At this stage, together with those responsible for a given functional area, we audit each process operating at the Client and discuss its assumptions and goals. We know that end users on the Client side are the people who know best their daily work and the needs for improving business processes. Drawing on our experience, we advise how to optimize them by transferring them into the digital world. We determine the process flow, its functional parameters and, if necessary, the scope of integration with other systems and applications.
Process configuration and parameterization
This is a very important stage, in which, based on the arrangements with the Client, we model and configure the process and its functional parameters. We place great emphasis on creating solutions ideally suited to the Client’s expectations, taking into account all the conditions of the organization we are working for.
Integrations
Integrations with external systems and applications are among the most challenging stages of any project. At this stage, we connect the Bosflow system with solutions already operating at the Client, such as ERP systems, domain-specific systems, public platforms, and applications (e-PUAP, PEF). In this phase, we also implement additional functions and services in the solution being deployed, such as, for example, a qualified electronic signature.
Deployment and implementation tests
A critical moment of the implementation is the pilot deployment of the solution at the Client’s site. This stage is very important, with the engagement of end users playing a key role. At this point, our internal testing and configuration work is already complete. We hand over the process to the Client and train key users in its operation. At this stage, the Client checks the results of our joint work and verifies whether the delivered solution meets their expectations. If there are suggestions for corrections or requests for modifications, we make the necessary adjustments.
Training
We conduct training in small groups, focusing on the specific processes and functional areas that each user team will be using. We attach great importance to ensuring that system users gain both theoretical knowledge and practical skills during our training, allowing them to move freely through the system and use its functionalities
Production launch and post-launch support
The implementation process ends with the production launch of the system and all the processes we have configured as part of the given project. However, this is not the end of our work on the project. We know how difficult it is to introduce changes in an organization and to implement new IT solutions. Users need time to become proficient in using the system—this is especially challenging as they must balance their ongoing duties with learning new software. That is why, in the initial period after the system goes live, we provide each Client with intensive support and post-launch assistance. We also organize training that consolidates and deepens knowledge of the implemented system.
